The short version. We collect what we need to quote and move your vehicle. To actually ship it we must give your name, phone and both addresses to the carrier we assign — a driver cannot collect a car otherwise. We do not sell your personal information and we do not share it for cross-context behavioural advertising. You can ask us what we hold, correct it, or have it deleted.
1. Who this applies to
This policy covers Melcore Auto Transport LLC (“Melcore Auto Transport,” “we,” “us”) and explains how we handle personal information collected through https://melcoreautotransport.com, by phone, by text and by email, and in the course of arranging vehicle transportation.
2. What we collect
- Identifiers — name, email address, phone number, and the pickup and delivery addresses for your shipment.
- Shipment details — vehicle year, make, model, condition, whether it runs, modifications, dates, and any notes you give us.
- Payment information — handled by our payment processor. Card numbers are entered directly into the processor’s secure fields and never reach our systems. We retain only the brand, the last four digits, the expiry, and a token we can charge; we cannot see or reconstruct the full number.
- Communications — emails, text messages, and calls with our team. Calls may be monitored or recorded for training, quality and record-keeping.
- Consent records — where you consent to SMS, we record that you consented, when, the number it applies to, and the exact wording you were shown. That record exists because the law puts the burden of proving consent on us.
- Technical and usage data — IP address, browser and device type, pages viewed, referring page, and similar log data, collected as described in our Cookie Policy.
We do not intentionally collect sensitive personal information — government identifiers, health, biometric, precise geolocation, race, religion or sexual orientation — and we ask that you do not send it to us.
3. Why we use it
- To prepare quotes and answer enquiries.
- To arrange transportation: posting your shipment to carrier networks, vetting and dispatching a carrier, and coordinating pickup and delivery.
- To take payment of the reservation deposit and to prevent fraud and chargeback abuse.
- To communicate with you about your order by phone, email and — where you have consented — text.
- To meet our legal obligations, including the records a licensed property broker must keep under 49 CFR Part 371.
- To improve the site and our service, and to defend or bring legal claims.
4. Who we share it with, and why
We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We do share it in these specific circumstances, because the service cannot be delivered otherwise:
- The carrier assigned to your shipment. When we dispatch, the carrier receives your name, phone number, and the pickup and delivery addresses. The driver needs these to collect and deliver your vehicle and to call you when they are close. Carriers are independent companies with their own privacy practices.
- Carrier load boards. To find a carrier we post shipment details — route, vehicle, dates — to industry networks such as Central Dispatch. We do not post your name, phone number or full street address to a load board.
- Our payment processor, to take the deposit and handle any refund or dispute.
- Service providers who operate our systems — hosting and database, email and SMS delivery, mapping and address lookup, error monitoring, and analytics. They act on our instructions and may use the data only to provide their service to us.
- Professional advisers — lawyers, accountants and insurers, where needed.
- Law enforcement and regulators, where the law requires it, where we receive a lawful request, or where we reasonably suspect fraud or unlawful use of our service.
- A buyer or successor, if the business is merged, acquired or sold. We will tell you if your information becomes subject to a different privacy policy.
5. How long we keep it
- Quotes that never became orders — up to 24 months, then deleted or anonymised.
- Completed orders and their records — at least 3 years, which is the period a broker must keep transaction records under 49 CFR 371.3, and longer where a claim, dispute or audit is open.
- Payment records — as required by our processor, card network rules and tax law.
- SMS consent and opt-out records — kept for as long as we operate, because they are the evidence that a message was permitted.
- Call recordings — retained only as long as needed for training, quality and dispute resolution.
6. Your privacy rights
Wherever you live, you may ask us to:
- Tell you what personal information we hold about you and how we use it.
- Give you a copy of it.
- Correct anything inaccurate.
- Delete it, subject to records we are legally required to keep.
- Stop sending marketing, or withdraw SMS consent, at any time.
To make a request, email info@melcoreautotransport.com with the subject line “Privacy Request.” We will verify your identity — usually by matching the details against an existing order — and respond within 45 days, extending once by a further 45 days if a request is complex, and telling you if we do. An authorized agent may act for you with written permission.
6.1 California residents
Under the CCPA as amended by the CPRA you have the rights above, plus the right to know the categories of personal information collected, the sources, the business purpose, and the categories of third parties it is disclosed to — all of which are set out in Sections 2 to 4.
We do not sell personal information, and we have not sold or shared it for cross-context behavioural advertising in the preceding 12 months. We also do not knowingly sell or share the personal information of anyone under 16.
You have the right not to be discriminated against for exercising these rights. We will not refuse service, change prices, or reduce service quality because you made a privacy request.
6.2 Other US states
Residents of states with comparable privacy laws — including Texas, Colorado, Connecticut, Virginia and Utah — have equivalent rights of access, correction, deletion and portability, and may appeal a refusal by replying to our decision. We will respond to an appeal within 60 days.
6.3 International shipments
Where you are in the UK or the European Economic Area and we handle your information in connection with an international shipment, you also have the rights to object to and restrict processing and to data portability, and you may complain to your local supervisory authority. Our lawful bases are performance of a contract, our legitimate interests in operating and securing the business, your consent for text messaging, and compliance with legal obligations. Information you give us is processed in the United States.
7. Text messages
We text you about your shipment only where you have consented — by ticking the box on our quote form, or on a recorded call. Consent attaches to the specific number you gave us. Reply STOP to any message to opt out, or HELP for assistance, or contact us at info@melcoreautotransport.com. Message and data rates may apply.
Information collected as part of SMS consent is never shared with third parties for marketing purposes, and consent is never sold. Opting out of texts does not cancel your order; we will still contact you by phone or email about it. Full SMS terms are in Section 28 of our Terms of Service.
8. Cookies and tracking
We use a small number of cookies and similar technologies. What they are, what they do, and how to switch the optional ones off is set out in our Cookie Policy. We honour Global Privacy Control signals where your browser sends them.
9. Children
Our services are for adults. The site is not directed to children, and we do not knowingly collect personal information from anyone under 18. Anyone under 13 must not submit personal information to us. If you believe a child has given us information, contact info@melcoreautotransport.com and we will delete it.
10. Security
We maintain physical, electronic and procedural safeguards appropriate to the information we hold: encrypted connections, access controls limiting staff to what their role requires, audit logging of sensitive actions, and a payment design in which card numbers never enter our systems at all.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Where a breach affects your personal information we will notify you and any regulator as the law requires.
We will never email or text you asking you to change payment instructions. If you receive such a message, do not act on it — call (737) 773-3111 using the number on this site.
11. Changes to this policy
We may update this policy. The effective date at the top always reflects the current version, and where changes are material we will say so here and, where appropriate, tell you by email or by a notice on our home page. Please review it from time to time.
